Exporting:
1)In the Import And Export Wizard, select Export to a file option and hit Next.
2)Under File Type, select Outlook Data File(.pst) and hit Next.
3)Now make sure Include subfolder is checked, this makes sure that all data including, Emails, Calendar, Contacts, Drafts, etc are exported. To export only a single folder, choose that folder and hit Next.
4)Now give the backup file a name and choose the destination where you want it to be saved and hit Finish.
5)Lastly, enter the Password to secure the backup file.
6)Once done, it will again ask you to enter the password. Enter the same password again and it will begin exporting your data.
During this process your Outlook might become unresponsive for a few seconds. When it becomes responsive again it means that the export is complete. You can then verify the export file by visiting the destination where you saved it.
Importing:
1)To launch the Export/Import wizard, first open Outlook, go to File menu, navigate to Open, and click Import
2)In the Import And Export wizard, select Import from another program or file option and hit Next.
3)Under File Type, select Outlook Data File(.pst) and hit Next.
4)Now choose the file to import, select the options, and hit Next.
5)It will then ask you to enter the password for backup file twice.
6)Once done, finally select the folder to import from(if you want to import complete data don’t change any settings) and make sure Include subfolders is checked. You can either import the file to the current folder or choose the folder.

Backup Messages to a .pst File
On the File pull-down menu, click Import and Export.
Click Export to a file, and then click Next.
In the list, click "Personal Folder File (.pst)", and then click Next.
Click the folder that contains the messages you want to back up. If the folder contains a subfolder that you want to include, select the "Include Subfolders" check box, and then click Next.
Under "Save exported file as", click Browse, and then specify a name and location for your backup file, for example, Mail Backup.
If you back up a .pst file that you have backed up to before, click one of the following:
Replace duplicates with items exported. Existing data will be overwritten with the information in the file being exported.
Allow duplicate items to be created. Existing data will not be overwritten, and duplicate information will be added to the backup file.
Do not export duplicate items. Existing data will be kept, and the duplicate information in the folder will not be copied to the backup file.
Click Finish.
Restore a backup .pst email file
On the File pull-down menu, point to Open, and then click Outlook Data File.
Click the .pst file you want to open, and then click OK.
The name of the folder associated with the data file appears in the Folder List (Folder List: Displays the folders available in your mailbox. To view subfolders, click the plus sign (+) next to the folder. If the Folder List is not visible, on the Go pull-down menu, click Folder List.). By default, the folder will be called Personal Folders .
